Getting Started

Up and running in 15 minutes

Accept Your Invitation

Your practice administrator sends an email invitation. Click the link, set your password, and configure multi-factor authentication. MFA is required for all users — no exceptions.

Complete Practice Setup

Enter your practice name, address, timezone, and business hours. Upload your logo. Glow AI will walk you through this step by step — just open the chat and say "help me set up."

Add Your Services

Build your treatment catalog with names, descriptions, durations, and pricing. Organize by category (injectables, laser, skin, wellness). Services power scheduling, reporting, and your client-facing website.

Import Your Clients

Upload a CSV of your existing client records or add them individually. Glow AI validates the data, detects duplicates, and asks you to confirm before writing anything. You can also bulk import appointments, products, and services.

Invite Your Team

Add providers, front desk staff, and administrators. Each team member gets role-based permissions that control what they can see and do — from viewing all clients to managing only their own schedule.

HIPAA & Security

Your responsibilities

GlowScript handles the technical safeguards — encryption, access controls, audit logging, and infrastructure security. As a practice using GlowScript, you are responsible for the administrative and physical safeguards within your organization.

Staff Training

Ensure all team members complete HIPAA training before accessing GlowScript. Schedule annual refresher training. Document all training sessions and keep records.

Access Management

Assign the minimum role necessary for each team member. Remove access promptly when staff leave. Review user access quarterly and adjust as roles change.

Device Security

Use strong passwords on all devices that access GlowScript. Enable device encryption and automatic screen locks. Never share login credentials between team members.

Incident Reporting

Report any suspected security incidents to your Privacy Officer immediately. Contact GlowScript support if you believe your account has been compromised. Document all incidents.

FAQ

Common questions

Is GlowScript HIPAA compliant?

Yes. GlowScript is built HIPAA-compliant from the ground up. AES-256 encryption at rest, TLS 1.2+ in transit, enforced MFA, role-based access controls, and six-year audit logs are all included. Every subscription includes a signed Business Associate Agreement at no additional cost.

Can I import data from my current system?

Yes. GlowScript supports bulk CSV import for clients, appointments, services, and products. Glow AI walks you through the process — it validates your data, detects duplicates, and asks you to confirm before writing any records.

Does Glow AI access patient data?

Glow AI can read your practice data to answer questions and generate reports, but it automatically sanitizes protected health information before processing. PHI is tokenized, processed, and re-identified on the way back — it never leaves your account in raw form. Every AI interaction is logged in your HIPAA audit trail.

What happens if I cancel?

Your data remains accessible for 90 days after cancellation. During this period you can export all records. After 90 days, data is securely deleted per our data retention policy. There are no cancellation fees.

Can I use GlowScript on mobile?

GlowScript is fully responsive and works on any modern browser, including mobile Safari and Chrome. A dedicated mobile app is on our product roadmap.

How do automated reminders work?

GlowScript sends appointment reminders via SMS at configurable intervals (typically 48 hours and 2 hours before). Glow AI analyzes each client's behavior to optimize reminder timing and reduce no-shows. You control the templates and frequency.

Is there a free trial?

Yes — every Professional plan includes a 30-day free trial with full access to all features, including Glow AI. No credit card required to start. Enterprise plans include a custom onboarding period.

Where is my data stored?

All data is stored and processed in AWS data centers within the United States. No data ever leaves US jurisdiction. AWS maintains SOC 1, SOC 2, SOC 3, ISO 27001, and HITRUST certifications.
